An international firm comprised of designers, writers, architects, scientists, historians, artists, educators and filmmakers are seeking a competent BUSINESS MANAGER to join their team. This person will be looking after financial management, legal appointments, general management and HR for the studio. Line managing an administrative assistant; one would also be reporting to the financial controller in NYC and has a lateral report to the London Studio Director.
Duties will include but will not be limited to:
Project Cost Control - Monitor and update Project Profitability Reports, including Timesheets and Resource Plans for all projects. Monitor and sign off all expenditure, signing off suppliers’ invoices and payroll. Assisting Financial Controller in chasing debtors.
Legal Appointments - Review and negotiate Fee proposals & Appointments and liaise with PI Insurers and legal advisors. Liaise with architectural directors in respect of key points and services. Sign, return, file all new appointments.
Insurance - Renew the Professional Indemnity; Employer’s and Public Liability; and Staff Insurances annually.
Premises - Overview lease; renewals & rent reviews. Project Manage refurbishment works to Studio & ground floor meeting rooms & presentation suite
HR- Responsible for introducing new staff to the practice, maintain personnel records, coordinate an annual Personal Assessment and administer healthcare, pension and the staff insurance schemes. Manage absences, holidays and maternity and paternity leave
Recruitment - Review applications, liaise with agencies, short-list candidates, organise and conduct interviews and issue offer letters and contracts.
Employment Contracts - Make sure appropriate contract agreements are in place for freelance appointments & resources.
Training - Monitor and contribute to the CPD programme. Implement specialist training such as Health and Safety.
Accountability - Oversee & Manage the Finance Assistant, Office Manager and Marketing function on the London Studio
