Bid Coordinator For Prestigious Architecture Practice

An iconic architecture practice is seeking a diligent bid coordinator to join their busy team. This person will work closely with the Business Development Team to make sure that bids get out on time, providing input into department's long-term goals, and supporting resource management.

Key Roles

  • To coordinate the production and delivery of expressions of interest, prequalification questionnaires, request for qualifications and other responses
  • Liaison and correspondence with clients, external consultants and internal departments
  • To ensure that all enquiries/acquisitions are updated and added to the document management system
  • Monitoring of OJEU tenders and competition websites on daily basis
  • To work closely to achieve department's long-term goals

Key Responsibilities

  • To ensure that all acquisitions and their related contacts and organisations are continually updated
  • Liaison with competition/project teams to ensure key project information is captured and communicated
  • Produce content and prepare materials for EOI, PQQ, RFQ
  • To assist with preparation of marketing materials
  • Production of RFQ's, EOI's and coordination of related information
  • Log related project information onto system
  • Proof reading for correction of grammatical, punctuation and spelling errors and checking bids for compliance with the company's style guidelines
  • Ensure that project numbers are raised in a timely manner
  • Monitor competition websites & publications for eligible competitions, and consult senior management on whether to pursue
  • Review practice profile information and assist in its update (multi-lingual), to ensure it projects an effective image and communicates the offices philosophy
  • Maintain project spread sheet with technical and cost information for past competitions and live projects

Key Skills

  • Experience of supporting the preparation of bid documents and knowledge of bid processes
  • Self-motivated, goal oriented and able to meet deadlines
  • Strong attention to detail
  • Can disseminate facts in a cogent argument
  • Excellent written and verbal communication skills
  • Able to build good relationships at all levels
  • Knowledge and interest in field of architecture
